PRIVACY POLICY

1. Purpose and Scope

This Privacy Policy has been prepared to explain how ALBEF Spor Teknolojileri A.Ş. (“ALBEF”) handles the personal data of visitors to albefclub.com and individuals applying to the training programmes of ALBEF Fencing Club.

Detailed information on the processing of personal data is provided in the Personal Data Protection Notice below.

2. Information Collected

Depending on the application, we may collect the athlete’s name, surname, age category, licensed club, fencing discipline and sporting background, as well as the parent’s name, surname and telephone number, through applications for training programmes and trial lessons.

Our application forms do not request information about allergies, chronic conditions or other health matters.

Technical data and cookies related to the operation of the website may be processed during your visit. Our website is hosted on Wix and uses Wix Blog.

3. Use of Information

Information submitted through applications is used to assess applications, identify training appropriate to the athlete’s age and experience, arrange a level assessment and contact the parent.

Application information is not used to send advertising or marketing messages without a separate preference being obtained.

4. Service Providers and Access

Application forms are provided through Google Forms, and the website operates on Wix. Data may be processed within these service providers’ systems in connection with the services they provide.

Within ALBEF, access to application information is limited to authorised individuals who require it to perform their duties.

5. Retention and Deletion

Responses to applications that do not result in enrolment are deleted no later than six months after the application date. Information relating to applications that result in enrolment is retained for as long as necessary to provide training and fulfil applicable legal obligations.

When the purpose or legal basis for retaining personal data no longer exists, the data is deleted, destroyed or anonymised in accordance with applicable law.

6. Cookies

The website may use cookies necessary for the operation of the Wix platform. The cookies used may vary depending on the features enabled on the site. If non-essential cookies or additional tracking tools are used, information about them and the available preference options will be provided separately.

PERSONAL DATA PROTECTION NOTICE

1. Data Controller

For the personal data processing activities described in this notice, the data controller under Turkish Personal Data Protection Law No. 6698 (“KVKK”) is:

This Notice applies to applications for training programmes and trial lessons accessed through the ALBEF Fencing Club website.

2. Personal Data Processed

Depending on the programme and the relevant application form, the following personal data may be processed:

Athlete information: Name, surname, age category, licensed club, fencing discipline and sporting background.

Parent information: Name, surname and telephone number.

ALBEF does not request health data through these application forms.

3. Purposes and Legal Bases for Processing

The athlete’s name, surname, age category and fencing discipline are processed to assess the application on behalf of the relevant athlete, determine whether the programme is suitable and plan the training process. This processing is based on Article 5(2)(c) of the KVKK, which permits the processing of personal data belonging to the parties to a contract where it is directly necessary for establishing or performing that contract.

The parent’s name, surname and telephone number are processed to assess an application submitted on behalf of a child athlete, respond to the application and arrange the level assessment process.

The athlete’s licensed club and sporting background are processed to assess their existing experience and determine an appropriate training level.

The processing of parent contact details, licensed club information and sporting background for the assessment of an application is based on Article 5(2)(f) of the KVKK, which permits processing where it is necessary for the legitimate interests of the data controller, provided that the fundamental rights and freedoms of the individuals concerned are not harmed. Only data necessary to assess the application is used for this purpose.

4. Method of Collection

Personal data is collected electronically when an individual completes a Google Forms application form linked from albefclub.com.

5. Transfer of Personal Data

Application information may be shared with ALBEF employees and coaches responsible for assessment and planning, only to the extent necessary for those duties.

Google Forms is used to provide the forms and receive responses. If the use of this service involves a transfer of personal data abroad, the transfer must be carried out in accordance with the requirements of Article 9 of the KVKK.

6. Retention of Personal Data

Responses to applications that do not result in enrolment are deleted no later than six months after the application date.

Data relating to applications that result in enrolment is retained for as long as necessary to provide training and fulfil applicable legal obligations. When the conditions for processing no longer apply, the data is deleted, destroyed or anonymised in accordance with applicable law.

You may submit requests concerning your rights under Article 11 of the KVKK in writing to:
